Calls covered from the bay, estimates approved by text, customers kept posted

Your techs are under a hood when the phone rings. Inspection findings live on a clipboard, an estimate waits on three rounds of phone tag, the front desk answers the same “is it ready?” question all afternoon, and a buyer who asked about a truck on Saturday night has moved on by Monday. We build the Service Bay System so AI answers the phone and writes up what your techs find for them to check, customers approve work and follow along by text, and every lead and reminder gets sent. We build it for independent repair shops, body shops, tire shops and independent dealers across Houston and beyond.

An independent repair shop. Four bays.

What slips, and what the Service Bay System does about it.

  1. Bay 3 · 10:15 am

Phone rang, hands under a hood

    AI answers, drop-off booked

When nobody can get to the phone, the AI answers in your shop’s name, takes down the vehicle, the symptoms and a callback number, and books a drop-off time. It never diagnoses or prices a repair. Those go to your service writer.

  2. Inspection · 2:30 pm

    Findings on a greasy clipboard

Tech talks, AI writes it up

The tech talks through what they see and snaps photos on a phone, and AI turns it into a clean inspection write-up with each photo beside its finding. The tech checks it, marks what’s urgent and what can wait, and only then does it go to the service writer.

  3. Estimate · 3 calls

    Phone tag over the approval

Texted with photos, tap to approve

Your service writer builds the estimate with parts and labor from your catalog and texts it to the customer with the tech’s photos. The customer approves line by line with a tap, and every yes and no is saved on the repair order.

  4. Front desk · 4:45 pm

    “Is my car ready?” calls

    Status texts at every step

As the car moves from diagnosis to waiting on parts to ready for pickup, the customer gets a short text at each step, so the front desk isn’t fielding the same question all afternoon.

  5. Lead · Sat 8:20 pm

Asked about a truck, no reply

    Answered tonight, test drive set

When someone asks about a vehicle on your website or a listing at night, the AI replies with the details from that listing and offers test drive times. Questions about trade-ins, financing or price go to your sales staff, and nothing about a deal is decided by the AI.

  6. Oil change · 5,000 mi

    Due for service, never told

    Reminder sent when it’s due

Each visit records the mileage and the work done, so customers get a reminder with a link to book when the next service comes due, and a review request goes out after pickup.

What we build

Inside the Service Bay System.

  • AI service line

Answers in your shop’s name while everyone’s in the bays, gets the vehicle and the symptoms, and books the drop-off. Diagnosis and pricing stay with your people.

  • AI inspection write-ups

Spoken findings and photos turned into a clean report the tech checks and signs off before the customer sees it.

  • Text-to-approve estimates

Estimates with photos sent by text and approved line by line, with every answer saved to the repair order.

  • Status texts

Short updates at each step from drop-off to pickup, so customers know where their car stands.

  • Vehicle lead replies

Questions about a vehicle on your lot answered from the listing at any hour, with deal questions handed to your sales staff.

  • Service reminders

Reminders built from mileage and past work, with a link to book and a review request after pickup.

  • Your data and accounts stay yours.

Everything runs in accounts under your name. Once it's paid for, the system is yours too. How we handle your data

Straight answers

Questions owners ask.

We already run shop management software. Do we have to switch?

No. Your shop management software stays where the repair orders live. We connect to your shop management and dealer software where it allows it, and we’ll tell you when what you have already covers it.

Will the AI ever tell a customer what’s wrong with their car or what it costs?

No. It takes down the symptoms and books the visit. Diagnosis belongs to your techs and pricing belongs to your service writer, and any write-up the AI drafts is checked by a tech before a customer sees it.

Our techs hate paperwork. Will they actually use this?

We build it so they talk instead of type. A tech says what they see and takes the photos, and the write-up is waiting for a quick check. If a step slows the bay down, we cut it.
