Loads logged, paperwork read for you, and detention on the invoice

Your trucks make money moving, not waiting. A shipper calls before dawn and gets a busy line, rate confirmations get typed in by hand, brokers call all afternoon asking where the load is, a signed BOL rides around in a cab for a week and three hours at the dock never reach the bill. We build the Dispatch-to-Pay System so AI answers the phone and reads the paperwork for your dispatchers to check, drivers send updates with a tap, and a load goes from request to paid on one record. We build it for small fleets, owner-operator groups, freight brokers and hot-shot and courier outfits across Houston and beyond.

A small fleet. Twelve trucks, regional runs.

What slips, and what the Dispatch-to-Pay System does about it.

  1. Load request · 5:10 am

    Shipper called, line was busy

    Answered, load details logged

When dispatch is on another line or the office isn’t open yet, the AI answers in your company’s name and takes the pickup and delivery points, dates, weight and equipment, whether it’s a container out of the port or a hot-shot run up I-45. The request lands in dispatch for a person to quote and accept.

  2. Rate con · 4 pages

    Retyped into dispatch by hand

    AI reads it, dispatcher checks

Forward the rate confirmation and AI pulls the rate, stops, appointment times, reference numbers and detention terms into the load, each tied to the line it came from. Your dispatcher checks it before the load is booked.

  3. Check call · 2:40 pm

Broker calls asking for an ETA

    Updates sent at every stop

Drivers tap arrived, loaded or delivered on their phone, or the position comes from your ELD where it allows it, and the broker or shipper gets the update by text or email without picking up the phone.

  4. POD · Fri 6 pm

Signed BOL lost in a cab

Photo read by AI, filed to load

At delivery the driver photographs the signed BOL, and AI reads it for a signature, the piece count and any shortage or damage noted, then files it to the load. Anything that doesn’t match is flagged for your office to look at.

  5. Medical card · 30 days

    Expired before anyone noticed

    Flagged before it expires

Each CDL, medical card, registration and insurance certificate is uploaded once. AI reads the expiry dates, your staff confirms them, and each one is flagged 30 days out so a truck doesn’t sit over a piece of paper.

  6. Detention · 3 hrs

Waited at the dock, never billed

Timed at the dock, on the invoice

Arrival and departure at every stop are time-stamped from the driver’s phone, and dock time past your free time is added to the invoice draft with the POD attached. You approve it, and the packet is ready for your customer or factoring company the day the load delivers.

What we build

Inside the Dispatch-to-Pay System.

  • AI load intake

Answers shippers and brokers in your company’s name, early or late, and logs every load request for dispatch to quote.

  • AI rate con reading

Rates, stops, appointments and reference numbers read off each rate confirmation and checked by your dispatcher before booking.

  • Driver status updates

One tap from the driver sends arrived, loaded or delivered to whoever is waiting on the load.

  • AI POD capture

A photo of the signed BOL read by AI, checked for signatures and exceptions, and filed to the load for your office to review.

  • Document expiry alerts

CDLs, medical cards, registrations and insurance tracked by date and flagged before they expire, so you keep the records your customers and insurer ask for.

  • Detention and invoicing

Dock time tracked against your free time and added to the invoice with the POD, ready for you to approve and send the day it delivers.

  • Your data and accounts stay yours.

Everything runs in accounts under your name. Once it's paid for, the system is yours too. How we handle your data

Straight answers

Questions owners ask.

We already have a TMS and ELDs in the trucks. Do we have to switch?

No. Your TMS stays where your loads live. We connect to your TMS and ELD where they allow it, and we’ll tell you when what you run already does the job. Often the gap is the phone, the paperwork and the steps between delivery and the invoice.

Can the AI price or accept a load for us?

No. The AI takes the details and reads the paperwork. Your dispatcher quotes, accepts and books every load, and every safety call, like whether a driver has the hours or the weather is too rough to run, stays with your people.

We factor our invoices. Does this help with that?

Yes. Each invoice is built with the rate confirmation, the signed BOL and any detention backup attached, so the packet your factoring company asks for is ready when the load delivers. You review and approve every invoice before it’s sent.
