Quotes answered, renewals caught early and reviews that get booked

Quote requests come in while you’re on the line with a carrier. Dec pages and statements get read line by line, the same answers get typed into one application after another, and a renewal shows up a week before it’s due. We build the Quote-to-Renewal System so AI answers, reads and drafts for your licensed people to check, and every client moves from first quote to the next review on time. AI never gives advice or picks a policy. We build it for independent insurance agencies, financial advisors and tax-planning practices across Houston and beyond.

An independent agency. Home, auto and business.

What slips, and what the Quote-to-Renewal System does about it.

  1. Quote · 6:40 pm

Asked for a quote, heard nothing

    Answered, details taken once

When a quote request comes in by phone after hours or through your website, the AI answers in your agency’s name and gathers the drivers, property or business details you ask for. They land in one file your team uses for every application, so nobody types them twice. It never quotes a price or picks a policy. A licensed agent follows up.

  2. Dec pages · 30 PDFs

    Coverage read off by hand

AI pulls the limits, you check

Upload a declarations page, an old policy or an account statement and AI reads it, pulling limits, deductibles, named insureds, holdings or balances into the client’s file. Each figure is linked to the page it came from, and your staff checks it before anyone relies on it.

  3. Renewal · 9 days

    Renewal snuck up again

    Flagged 90 days out, assigned

Every policy’s renewal date is tracked from the day it’s written. At 90 days out it lands on an agent’s list with the current coverage and any changes the client has mentioned, and AI drafts a check-in email for the agent to edit and send.

  4. Certificate · 4:30 pm

    Due today, still not issued

AI drafts it, an agent issues it

A client or their customer asks for a certificate through a short form. AI fills it in from the policy on file, and an agent checks the holder, the wording and the limits before it’s issued. Every certificate sent is logged against the policy.

  5. Review · 9 am

    Prep pulled together at 8:50

AI briefs you, then sums it up

Before a meeting, AI pulls the client’s policies or accounts, recent changes and open items into a one-page brief. With the client’s permission, the meeting is recorded and AI drafts a summary with next steps. The agent or advisor checks it, and every recommendation stays theirs.

  6. Yearly review · 14 months

    Review never got booked

    Reminder sent, docs asked for

When a client’s yearly review comes due, they get a friendly note with a link to book a time and a checklist of what to upload first, like a new vehicle, a move or a change at work. Reminders follow until it’s on the calendar.

What we build

Inside the Quote-to-Renewal System.

  • AI quote intake

Answers quote calls and web requests in your agency’s name and gathers the details once for every application. Pricing and coverage stay with a licensed agent.

  • AI document reading

Dec pages, policies and statements read by AI, with each figure tied to its source page for your staff to check.

  • Renewal tracking

Every renewal on one list, flagged early enough to go over coverage with the client instead of rushing it.

  • Certificate requests

A short request form, a certificate drafted from the policy, and an agent’s sign-off before it goes out.

  • AI meeting briefs

A one-page brief before each meeting and a draft summary after, checked by the agent or advisor before it’s filed.

  • Client review reminders

Yearly reviews booked with reminders and a checklist, so documents arrive before the client does.

  • Your data and accounts stay yours.

Everything runs in accounts under your name. Once it's paid for, the system is yours too. How we handle your data

Straight answers

Questions owners ask.

Will the AI ever recommend a policy or give financial advice?

No. It answers the phone, reads documents and writes drafts. Coverage, pricing and every recommendation come from your licensed agents and advisors, and the AI tells callers a person will follow up on anything like that. Each draft is reviewed by someone on your team before it goes anywhere.

We hold clients’ Social Security numbers, policies and account details. How is that protected?

Only the people you allow can see it. We use role-based logins and least-privilege access, keep an audit trail of who opened what, and encrypt data in transit and at rest. Your data stays in accounts your firm owns. Insurance and financial firms carry their own privacy and security obligations, and we build the controls they call for. We’re not your lawyer, and we’ll say when you need one.

We already have an agency management system. Do we have to replace it?

No. It stays the record. We connect to your agency management system or advisor CRM where it allows it, and we’ll tell you when what you already run is the better call. Usually the gap is the calls, the paperwork and the follow-ups that happen around it.
