Bids out sooner, every change signed, and closeout built along the way

The bid is due Thursday and the plan set runs to hundreds of sheets. Submittals live in a spreadsheet someone built from the spec book, site photos sit on half a dozen phones, extra work gets done on a handshake, and the pay app gets rebuilt by hand every month while retainage waits on closeout paperwork. We build the Bid-to-Closeout System so AI does the first pass on the reading and writing for your estimators and project managers to check, and a job runs from plan set to final payment on one record. We build it for general and specialty contractors, site work, land clearing and dirt work outfits, and civil and environmental engineering firms across Houston and beyond.

A site work contractor. Four jobs running at once.

What slips, and what the Bid-to-Closeout System does about it.

  1. Bid · due Thu

Plan set read page by page

    AI pulls quantities to check

AI reads the plan set and pulls quantities like pipe footage, paving area, concrete and earthwork into a takeoff sheet, each line tied to the sheet it came from. Your estimator checks every line and sets every price. AI never prices the job.

  2. Submittals · spec book

Log built by hand, items missed

AI drafts the log from specs

AI reads the spec book and drafts a submittal log with each item, its spec section and who owes it. Your project manager reviews it, and from then on every submittal and RFI is tracked by status and due date, with a flag when an answer runs late.

  3. Daily log · 5:30 pm

Photos on six phones, no log

Spoken log, photos filed by day

The super talks through the day on a phone, covering crew, weather, deliveries, work done and any delays, and AI writes the daily log with that day’s photos attached. The super reads it and signs off before it’s filed.

  4. Change order · verbal

    Extra work, nothing signed

    Priced and signed before work

When the owner or GC asks for something outside the contract, the foreman logs it on a phone with photos, the office prices it, and it goes out for e-signature before the crew starts the work.

  5. Pay app · the 25th

    Rebuilt by hand every month

Built from the schedule of values

Each month the pay app is drafted from the schedule of values and the percent complete your project manager enters, with approved change orders added and each sub’s lien waiver collected alongside it. Your project manager reviews it before it’s submitted.

  6. Closeout · retainage

    Retainage held on missing docs

Binder built as the job goes

As warranties, manuals, as-builts and inspection reports come in, AI files each one under its spec section and keeps a list of what’s still missing for your project manager to chase, so the binder is close to done when the last punch item is.

What we build

Inside the Bid-to-Closeout System.

  • AI takeoffs

Quantities pulled from the plan set into a sheet tied to each drawing, then checked and priced by your estimator.

  • RFI and submittal log

A submittal log drafted by AI from the spec book and reviewed by your team, with every RFI and submittal tracked to an answer.

  • Voice daily logs

Spoken notes and site photos turned into the daily log, read and signed by your super.

  • Change orders

Extra work logged with photos, priced by the office and signed before the crew starts it.

  • Pay apps

Monthly pay apps drafted from the schedule of values and approved changes, with sub lien waivers gathered alongside.

  • Closeout binder

Warranties, manuals and as-builts filed as they arrive, with a running list of what’s still owed.

  • Your data and accounts stay yours.

Everything runs in accounts under your name. Once it's paid for, the system is yours too. How we handle your data

Straight answers

Questions owners ask.

Can AI really do our takeoffs?

It does the first pass, not the bid. AI reads the plan set and pulls quantities with the sheet each one came from, so your estimator starts from a list to check instead of a blank page. Your estimator checks every quantity, catches what the drawings leave out and sets every price. Engineering judgment and sealed work stay with your licensed people.

We already pay for estimating and project management software. Do we have to switch?

No. We connect to your estimating, project management and accounting software where it allows it, and we’ll tell you when the tools you already have cover it. Often the gap is the handoff between the field and the office, not the software.

Who can see our bids and our numbers?

Only who you choose. Bids and margins stay with the office through role-based logins and least-privilege access, subs see only what they send you, and owners see only their own job. An audit trail records who changed what, and your files stay in accounts your company owns.
