Paperwork that comes to you, and hours that make it onto the bill

Your best hours go to client work, and the rest of the day goes to chasing signatures, documents and callbacks. Engagement letters wait, tax documents trickle in, and time worked slips off the invoice. We build the Client Intake System so a new client moves from first call to signed, documented and billed without the chase. We build it for law firms, CPAs, bookkeepers and tax offices across Houston and beyond.

An accounting firm. Two CPAs.

What slips, and what the Client Intake System does about it.

  1. Search · 9:40 am

    Found a bigger firm first

Found first, reviews to back it

We build a clear firm website, keep your Google listing current, and send a review request when an engagement wraps, so prospects see real feedback next to your name.

  2. New client · 10:05

    Called, nobody picked up

    Answered, consult on the calendar

Calls you can’t take are answered in your firm’s name, the basics of the matter are written up for you to review, and a consult goes straight onto your calendar.

  3. Engagement · 8 days

    Quoted, letter not sent

Letter sent and e-signed same day

Once you set the fee and scope, the engagement letter fills itself in from your template and goes out for e-signature the same day, with reminders until it’s signed.

  4. Docs · 14 clients

    Still chasing paperwork

    Portal asks, reminds and collects

Each client gets a secure portal with a checklist of what you need. It sends the reminders for you and tells you when the file is complete.

  5. Rekeying · 3 hrs

    Same numbers, typed twice

    Entered once, synced everywhere

Client details and figures are entered once and passed to the other places that need them, where those tools allow it, so nobody keys the same numbers twice.

  6. Hours · 22

    Worked, never on a bill

    Time flows straight onto invoices

Time logged against a client or matter flows onto the invoice draft, so you review and send instead of rebuilding the month from memory.

What we build

Inside the Client Intake System.

  • Website and local search

A firm website that explains what you do in plain words, backed by a Google listing and reviews.

  • Phone answering

Calls answered in your firm’s name while you’re with a client or in court, with notes written up and the consult booked.

  • Engagement letters and e-sign

Letters built from your own templates, sent for e-signature and tracked, so no engagement sits half-agreed.

  • Document portal

One place for clients to upload what you asked for, with automatic reminders and a clear list of what’s still missing.

  • Time to invoice

Hours recorded as you work show up on the invoice, so the work you did gets billed.

  • Your data and accounts stay yours.

Everything runs in accounts under your name. Once it's paid for, the system is yours too. How we handle your data

Straight answers

Questions owners ask.

Our clients trust us with confidential information. Who can see it?

Only the people you allow. We set up role-based logins and least-privilege access, keep an audit trail of who opened what, and encrypt files in transit and at rest. Your data and accounts are yours from day one. Once it’s paid for, the system is yours too.

We prepare tax returns. Are there security rules we have to follow?

Yes. Federal rules expect paid tax preparers to keep a written information security plan. That obligation is yours, and we build the controls it calls for, like logins, access limits, encryption and an audit trail. We’re not your lawyer, and we’ll say when you need one.

We already pay for practice and tax software. Do we have to switch?

No. We work around what your office already runs. We connect to your practice management and tax software where those tools allow it, and we’ll tell you when your current setup is already the right one.

Let's get started

Let's find what's costing you.

Thirty minutes on the phone and you'll know the one thing worth fixing first — and what it's worth to fix it. No pitch, no jargon, whether we end up working together or not.
