Chairs booked, clients rebooked and the phone handled while you work

Your hands are in someone’s hair when the phone rings. A Saturday client doesn’t show, a regular drifts away because nobody booked the next visit, and last spring’s color formula is on a card in a drawer somewhere. We build the Booking & Rebooking System so AI books the calls, keeps the client notes and fills open slots on rules you set, and every visit leads to the next one. We build it for hair salons, barbershops, nail and lash studios, massage therapists and med-spas across Houston and beyond.

A hair salon. Five chairs, booked most Saturdays.

What slips, and what the Booking & Rebooking System does about it.

  1. Phone · 2:30 pm

    Rang mid-color, nobody answered

AI books it while you work

When you can’t step away from the chair, the AI answers in your salon’s name, finds an opening for the service and stylist the caller wants and books it, or takes a message for anything it shouldn’t decide.

  2. Booking · Sat 10 am

    No-show, chair sat empty

    Confirm or reschedule by text

Each client gets a text a day or two ahead to confirm, move or cancel with one tap, and a cancelled slot opens up right away instead of turning into an empty chair.

  3. Last visit · 9 weeks

    Never booked the next one

Rebook nudge timed to the service

Every service carries its own rebooking timing, so a client hears from you when their color, cut or fill is due, with a link straight to their usual stylist’s calendar.

  4. New client · first visit

    Allergies asked at the chair

    Intake done before they arrive

New clients fill in their consultation form on their phone before the visit, with allergies, sensitivities, past services and goals, so the appointment starts with the service, not a clipboard.

  5. Formula · last spring

Color notes on a scrap card

AI files the formula, you confirm

After the service, the stylist says the formula, products and notes out loud, and AI files them on the client’s card. The stylist checks it before it’s saved, so it’s waiting at the next visit.

  6. Cancellation · 11 am

    Gap opened, nobody filled it

AI offers it to the waitlist

When a slot opens, AI finds waitlisted clients who want that service at that time and texts them the offer. You choose whether the first yes books straight away or waits for your okay.

What we build

Inside the Booking & Rebooking System.

  • AI booking line

Answers calls in your salon’s name, books by service and stylist, and passes anything tricky to your front desk.

  • Text confirmations

Reminders that let clients confirm, move or cancel with a tap, so an open chair shows up in time to fill.

  • Rebooking reminders

A nudge when each client’s next service is due, and a review request a day after the visit.

  • Online intake

Consultation forms with allergies, sensitivities and goals, finished before the client walks in.

  • AI client notes

Formulas, products and preferences spoken after the service and saved to the client card once the stylist checks them.

  • Waitlist fill

Open slots offered by text to waitlisted clients who want that service, on rules you set.

  • Your data and accounts stay yours.

Everything runs in accounts under your name. Once it's paid for, the system is yours too. How we handle your data

Straight answers

Questions owners ask.

We already have booking software. Do we have to switch?

Not if your team likes it. Where your booking software allows it, we connect to it, and we’ll tell you when the tool you have is already the better call. Often the missing pieces are the phone, the rebooking and the waitlist around it.

We sell gift cards and memberships. Can those be tracked too?

Yes. Gift card balances and membership visits sit on the client’s record, so the front desk sees what’s left at checkout instead of digging through a notebook. Members get a reminder when they still have visits to use.

Our intake forms ask about health and allergies. How is that kept private?

Only the people you choose can see it. We build with role-based logins, least-privilege access, an audit trail and encryption in transit and at rest, and a client can ask for their information to be exported or deleted. If your spa’s work brings health privacy rules into play, that obligation is yours. We build the controls it calls for and we’ll sign a BAA where one is needed. We’re not your lawyer, and we’ll say when you need one.
