Full chairs, answered phones and a front desk that can breathe

The phone rings while a patient is checking in. Someone needs a form, someone else is due for a cleaning, and a balance from last month still hasn’t gone out. We build the Front-Desk System so the routine work runs on its own and your team can look after the patient standing in front of them. We build it for dental offices, medical and specialty practices, therapists and clinics across Houston and beyond.

A dental practice. One front desk.

What slips, and what the Front-Desk System does about it.

  1. Search · 8:02 am

    Found a competitor first

Shows up when they search nearby

We build a practice website that loads fast on a phone and keep your Google listing current with your services, hours and the insurance you take, so nearby patients see you when they search.

  2. New patient · 8:41

    Called, got voicemail

Answered and booked on the spot

When the front desk can’t pick up, the AI receptionist answers in your practice’s name, handles the common questions and books the visit where your scheduling system allows it, or takes the details for your team to confirm.

  3. No-show · Thu

    Chair sat empty an hour

    Reminders sent, waitlist fills it

Patients get a text reminder they can confirm or reschedule with one tap, and when a slot opens, the next patient on your waitlist gets a text offering it.

  4. Front desk · 2 hrs

    Retyping the same forms

    Patients fill forms online, once

New patients fill in history, insurance and consent forms on their phone before they arrive, and the answers are collected in one place so nobody types them twice.

  5. Recall · 118

    Due for cleaning, no call

Recall texts go out on schedule

Recall texts go out on a schedule you set, with a link to book, so patients due for a cleaning or check-up hear from you without anyone working a call list.

  6. Balance · 6 weeks

    Never billed the patient

Balance billed with a pay link

When a balance is left after insurance, the patient gets a text or email with a pay link, and polite reminders follow until it’s settled.

What we build

Inside the Front-Desk System.

  • Website and local search

A practice website built for phones, plus a Google listing kept up to date, so patients nearby see your services, hours and reviews.

  • AI receptionist

Answers in your practice’s name when the desk is busy or closed. Anything clinical goes straight to your staff.

  • Reminders and recall

Appointment reminders, confirmations and recall texts on a schedule you control, with a waitlist that fills openings.

  • Online forms

Intake, history and consent forms patients finish on their phone before the visit, gathered in one place for your team.

  • Billing follow-up

Balances go out with a pay link and follow up on their own, so money owed doesn’t sit for weeks.

  • Your data and accounts stay yours.

Everything runs in accounts under your name. Once it's paid for, the system is yours too. How we handle your data

Straight answers

Questions owners ask.

Our records include protected health information. How do you handle that?

Carefully, and in writing. We’ll sign a BAA before we touch patient data. We build with role-based logins, least-privilege access, an audit trail, and encryption in transit and at rest. We’re not your lawyer, and we’ll say when you need one.

We already have practice management software. Do we have to replace it?

No. Your practice software stays where the patient chart lives. We connect to the practice software you already use where it allows it, and we’ll say plainly when keeping what you have is the better call.

Will patients be put off by an AI answering the phone?

It tells callers who they’re talking to, keeps things short and sounds friendly. You decide what it handles and what goes to a person, and any question about symptoms or care is passed to your staff.

Let's find what's costing you.

Thirty minutes on the phone and you'll know the one thing worth fixing first — and what it's worth to fix it. No pitch, no jargon, whether we end up working together or not.
